About this vacancy

There are 2 office roles available that will be under the Business Administration Level 3 apprenticeship standard. Post Completion Assistant and Post Room/Archiving Assistant. the 2 successful candidates will spend equal time working in both roles giving them opportunities to learn about the different jobs within the company.

Future prospects

The Learner would have opportunity to progress onto other roles within the company, including Legal Assistant, or onto other peripheral roles, e.g. within the accounts, Customer Care or Human Resources departments. Many of our Legal Assistants progress onto further legal training, which would require the Learner to undertake further formal qualifications.

Duties/main responsibilties include:

Post Completion duties:
• efficient and effective use of the electronic case management system;
• scanning and photocopying of documents;
• archiving files;
• filing documents as necessary;
• retrieving archived electronic or paper files;
• assisting with client enquiries where possible and progressing matters accordingly;
• following company policies and procedures;
• maintaining confidentiality; and
• attending and engaging with support, advice and training.

Post Room / Archiving Assistant duties:
• dealing with confidential and sensitive incoming mail, opening and sorting it ready for it to be scanned onto the case management system;
• documenting the arrival of Special and Recorded deliveries;
• identifying documents accurately;
• photocopying and scanning documents;
• validating scanned documents to ensure that they are allocated to the correct file;
• using the in-house, electronic case management system to search and file documents;
• filing paperwork and documents;
• actioning outgoing post promptly and efficiently, including Special and Recorded deliveries, and internal mail to other offices;
• archiving files, including deliver to the offsite storage facility;
• ordering stationery and checking that printers / faxes have paper and toner;
• other adhoc duties as required, including supporting other teams with general housekeeping;
• following company policies and procedures;
• maintaining confidentiality; and
• attending and engaging with support, advice and training.

Monday to Friday 09:00 – 17:00
